5-step follow-up sequence for new insurance leads https://www.privyr.com/blog/follow-up-sequence-to-convert-new-leads-in-insurance/ Tue, 19 Mar 2024 12:36:43 +0000 https://www.privyr.com/blog/?p=8192 Copy our 5-step follow-up sequence to warm up new leads who expressed interest in your insurance services.

It’s tough to follow up consistently with new leads who keep ignoring you – even though they were the ones who initially approached you through your online ad or website.

However, don’t let their “ghosting” be your biggest sales killer!

It takes at least eight touchpoints to convert or book a meeting with a new lead, but most insurance agents stop at two or three touchpoints.

If you want more insurance sales, you’ll need a consistent follow-up plan to nurture every new lead that enters your pipeline. And luckily, you can just copy ours. Our 5-step follow-up sequence covers how to reach out to new leads and how to follow up with them, even if they don’t reply. Complete with 5 scripts you can save and auto-personalise.

5-step follow-up sequence to convert new leads in insurance

💡Pro-tip: Click the “Personalise This Template” button to save each follow-up script directly to your Privyr account.

On the mobile app, you can auto-personalise and send them within seconds to your clients via WhatsApp, iMessage, SMS, and more. Scripts are numbered so you know how to send them in sequence.

Don’t have a Privyr account yet? Create one for free here.

Step #1: Start with a quick introduction

Ideally, you should message your lead within 15 minutes of them expressing interest in your insurance services.

This will instantly maximise your chances of getting a reply from the lead.

"Hi Ben, thanks for your interest in ACME 360+ Life Insurance. I’m Allan, your ACME representative. 👋

Just one quick question before I send you our brochure. *Do you currently have life insurance?*"

We always recommend short introduction messages, because new leads are more likely to respond to you if it’s easy to do so.

Need more ideas for your first message? We’ve compiled 20 WhatsApp introduction message templates here.

Step #2: Follow-up on their interest

Send this follow-up one or two days after your initial message.

This could help regain the attention of those leads who stopped responding after you sent them your introduction message or your brochure.

"Hi Ben, hope you’re doing well! ☀ Did you have time to see my last message?

Whether you’re currently insured or not, our Life 360+ Insurance Plan gives you 3 KEY benefits:

✅ Wider coverage than most insurance plans on the market
✅ Affordable plans from only *$0.09 / day*
✅ Award-winning claims process

I’m happy to jump on a quick call if you have any questions."

Step #3: See if they are up for a quick phone call again

Send them this message three to five days after your previous follow-up.

Maybe you or your lead prefers to discuss insurance matters over the phone. Here’s a script to schedule a time for that call!

"Hi Ben! Life insurance has so many layers that it can be overwhelming sometimes. 😅

But I’m always here to answer any questions you may have about insurance in general, and suggest the right coverage for you.

If you want, I could give you a quick call in 5 minutes to understand you and your lifestyle better? Or let me know a time you prefer."

Step #4: Gather more insights on their insurance situation

If the lead is still not being very responsive, send this follow-up three to five days after your last message.

The goal is for you to gain more insights into their current insurance situation, so you can send more personalised content in interactions that follow.

"Hi Ben, it’s Allan here again! Just checking in again to see if you’re still interested in getting insured with ACME 360+ Life Insurance.

Let me know what you think – just send me the number that best applies to you 👇

1⃣ I’m interested, but I need more info before deciding.
2⃣ I’m interested, but ask me again in a week as I’m busy.
3⃣ I’m interested, but I’m exploring other options first.
4⃣ Not interested. I already found the best life insurance.

I’ll do my best to assist you. 🙂"

Remember that you have to make it extremely easy for them to answer your question, especially because they’re already not very responsive.

Step #5: Continue to send them relevant offers

Dealing with leads who don’t engage with you despite multiple follow-up attempts? Send this message three to four weeks later, or every time you have a relevant offer they may be interested in.

Insurance can be a complex and somewhat high-commitment purchase. It helps to have a long-term follow-up plan to convert leads who may not be ready to buy in the next few weeks, but maybe they will be in a few months.

Here’s a script you can use (and repurpose!) for long-term follow-ups.

"Hi Ben, hope you’ve been doing well!

I thought you might find this interesting since you were looking into ACME 360+ Life Insurance before.

We recently launched a new term life insurance plan – ACME Guard. It offers even more affordable policies + comprehensive coverage.

May I send you more info?

- Allan"

3-step follow-up: How to promote new listings to old leads https://www.privyr.com/blog/how-to-re-engage-old-leads-with-new-listings/ Sat, 02 Mar 2024 10:15:31 +0000 https://www.privyr.com/blog/?p=8093 Want to promote your new real estate listings to old leads & restart the conversation without sounding sales-y? Save & use our three-step message sequence!

The post 3-step follow-up: How to promote new listings to old leads appeared first on Privyr Blog.

]]>
As a real estate agent, your next step after receiving new listings is to share and promote them to as many potential buyers as possible.

Yes, this probably means running ads to find new leads, but…

Many agents ignore another sales strategy that is much simpler, which also costs nothing: promoting your new listings to your old leads.

This could be leads who came into your pipeline many weeks, months, or even years ago, but did not convert for some reason.

Whether they stopped replying, or decided not to buy the property last time, having new listings means having new opportunities to talk to them again.

Old leads can be much easier to nurture and convert than new leads, especially if your new listing is similar to the property they were looking at before.

Not sure what to say? Just copy our 3-step follow-up sequence for promoting new property listings to old leads.

💡Pro-tip: Click the “Personalise this template” button to save each message directly to your Privyr app.

The message templates are numbered, so you can use them in order. Use Privyr to quickly personalise and send each message for your leads and clients on WhatsApp, iMessage, SMS, and more.

Don’t have a Privyr account yet? Create one for free here.

Step #1: Share the new listing with them

Avoid just sending the PDF brochure for the new property or development without an accompanying message. It’s very likely that your lead will just ignore it.

Make a better impression with this script to re-engage old leads.

"Hi Jason, hope you and your wife are well!

I remembered that you were looking at 2-bedroom apartments in Edenbrook last year, but the development wasn’t the perfect match for you.

Just wanted to share that there’s a brand new project that just launched in the area, which reminded me of you.

Located in the heart of Edenbrook with easy access to major highways, this development boasts units that are spacious and luxurious. 🤩

Would you like to see the floorplans?

- Lisa, ACME Realty"

By the way, here’s one very important rule that we follow when creating this first message…

If you’re trying to reconnect with leads you haven’t spoken to in months (or years), it helps to send them a more personalised message instead of a generic one that’s obviously being bulk-sent. This will increase your chances of successfully reconnecting and getting a sale.

Step #2: Find out what they’re interested in now

If they don’t reply, send this message two or three days after the previous follow-up.

Maybe the lead is not interested in your new listing because their preferences have changed over time. So you should try to understand what their current interests are to keep the conversation alive.

"Hi Jason! The last time we spoke, you said you were looking for apartments in Edenbrook for your family. Has that changed?

Send me the number of the response you’re thinking about? 👇

1⃣ Give me more info on the newly launched Edenbrook apartment.
2⃣ I want to look at properties in another location:
3⃣ Not looking to buy property right now.

Thanks and have a great day! ☀ "

Suggested: Successfully convinced a lead to come take a tour of the property or attend an open house? Save our 5-step follow-up sequence to convert leads who have booked a house viewing with you. Get FIVE ready-to-use scripts you can customise in your Privyr account!

Step #3: Send them festive greetings or other listings

If the lead ignores you or tells you they’re no longer interested in buying property, you should still keep in touch with them, given that they didn’t ask you to stop contacting them.

You can maintain your touchpoints by:

 1. Sending them festive greetings every year, like Christmas wishes, New Year wishes for clients).
 2. Sharing other new listings relevant to them – just repurpose the scripts in Step #1 and #2 of this article!

They may continue to ignore you for a long time, but you still have the chance to get the sale when they’re ready to buy – but only IF they remember you months or years later.

The way to make sure they remember you is by maintaining your touchpoints.

"Hi Jason, as the year comes to a close, I want to express my gratitude for your trust and support in me as your real estate representative.

🎆 Wishing you an amazing 2024 filled with joy and great successes!

Send my best regards to your wife as well.

– Lisa, ACME Realty"

Summary

At the end of the day, your biggest sales killer is not your competitors in the market. It’s the lack of consistent follow-ups that causes prospects to forget about you when they are finally ready to buy a property.

Follow up regularly, and you can turn those seemingly uninterested leads into customers. Copy and use our message sequences so you don’t have to worry about how to get the conversation going. Easy-peasy!

With an app like Privyr, it’s easy to import, customise, and send a follow-up sequence like the one we just shared. So you’ve convinced a lead to book a house viewing – that’s a BIG win! 🙌

Now it’s time to impress them and move them further along their property-buying journey. You can achieve this with excellent service and proactive follow-ups after the viewing.

Copy our 5-step message sequence to nurture leads who have set up a viewing appointment with you.

💡Pro-tip: Click the “Personalise this template” button to save each message directly to your Privyr app.

The message templates are numbered, so you can simply use them in order for leads who have booked a property tour. Use Privyr to quickly auto-personalise and send each message for your leads and clients on WhatsApp, iMessage, SMS, and more.

Don’t have a Privyr account yet? Create one for free here.

Step #1: Appointment reminder for house viewing

Send this message script before the scheduled appointment as a gentle reminder for your lead. If possible, include details on how to get there to make the process even easier for them.

“Hi Andy, looking forward to meeting you at the Haven Residences showflat tomorrow for your viewing.

⏰ 1.30pm
📍 Lobby @ Haven Residences, 60602 Chicago.
🚗 Self-drive: Free visitor parking available
🚕 e-Hailing: Set destination as Haven Residences Lobby A

Let me know once you arrive in the lobby, and I’ll be there to welcome you. 🙂 See you!”

Step #2: Thank you message after property viewing

Send this message template within the same day after the viewing to impress your leads with great overall service.

“Hi Andy, thanks for coming to check out the Haven Residences showflat today!

The spacious layout and dual-key concept seem to be features that you really loved. I think they’re great too. 🙌

If you have any further questions about this development, feel free to ask me here.”

Step #3: Follow-up on interest after house viewing

Send this WhatsApp follow-up one or two days after the viewing. See if the prospect had time to think more about the property they viewed.

“Hi Andy, hope you’re having a good day! ☀ I just wanted to see what you think after viewing the Haven showflat recently.

I totally understand that buying a property is a big decision with many factors involved – happy to answer any questions you may have over text or call.

If you’re ready to secure your unit at Haven Residences, I can also walk you through the next steps. Just send me a 👍

Step #4: Follow up on interest (again 💪)

Don’t be shy to send another follow-up! Maybe they missed your previous message, forgot to reply, or just needed more time to think. Try to engage the lead again within three to five days after the last follow-up.

“Hi Andy, just checking in again to see if you’re still interested in the project you recently viewed. I’ll keep it quick. 👍

What do you think of Haven Residences @ Chicago? ⬇

1⃣ I’m interested, but I need more info before deciding.
2⃣ I’m interested, but I’m exploring other options first.
3⃣ Not interested. I want to look at other projects.

Send me the number, and I’ll do my best to assist you. 🙂

Step #5: Create a sense of urgency, if they’re really interested

Send this message if the property you’re selling has a limited-time promotion or limited availability. Ideally, you should try to send this within one or two weeks after your last message. Any longer and the lead may start to forget about the property they viewed.

Encourage those leads who are almost ready to buy to take the next step.

“Hi Andy, how are you? Some quick updates on Haven Residences. ☀

I’ve been told there are quite a limited number of units left with the layout you were looking for, especially in the towers with unobstructed views of the city.

If you love the development but need more time to think, you could always place a *refundable* deposit of $200 to reserve the unit you absolutely love, and decide later.

Send me a *Yes* if you’d like to do so and I’ll share which units are still available.”

Continuous follow-up, even if they stop replying

You’re very likely to encounter cases where the lead stops replying entirely, even after sending all five messages above. However, this isn’t the end of their journey with you as their real estate agent.

Leads may ignore you for many reasons you cannot control, but give them enough time and they’ll eventually be ready to buy a property.

Give yourself the opportunity to capture those sales by being proactive with your follow-ups and touch points – even if it’s just sending them festive greetings, like new year wishes on WhatsApp. You could also share new listings you think they’d find interesting.

At the end of the day, your biggest sales killer is not your competitors in the market. It’s the lack of consistent follow-ups that causes prospects to forget about you when they are finally ready to buy a property.

Don’t worry if you feel like you’ve missed the opportunity to connect with some of the leads you already have.

In fact, here are 20 WhatsApp follow-up messages to re-engage leads, even those you haven’t spoken to in months or years.

Summary

Regular follow-ups can convert uninterested leads into customers. Just copy and use our message sequences so you don’t have to worry about how to start that conversation.

Congratulations! You’ve just gotten a new lead. 🎉 Now, it’s time to move your sales process forward by reaching out to them via WhatsApp introduction messages or greetings over text. With the right message, you can successfully bring your lead to the next step in your sales process ✅ – or they’ll forget about you completely. 🛑

Keep your sales process moving smoothly by using these introduction messages over WhatsApp, iMessage, or text. Once you get that first reply, you’re on your way to nurturing that relationship with your lead – and landing your next sale.

One of the most common issues we hear about from salespeople and marketers is that once they’ve received their lead, they reach out to them – only to receive no reply. 🙁 So how do you write WhatsApp introduction messages that people want to respond to?

Use these message templates to make the perfect first impression on your lead. These messages tell your prospect who you are and why you’re messaging – without sounding like spam or a scam. Then, they sweeten the deal by ending the message with a message that leaves room for their response. 📲

These WhatsApp and text template messages cover multiple sales situations across multiple industries. Just customise these templates with your products or services – or even better, any relevant personal details you have about your leads or clients.

The best thing is that you don’t have to copy and paste these messages when you send them. Just click under each message to save it directly to your Privyr app as a template. Then, Privyr will help you send this message, auto-personalised, to your leads or clients.

WhatsApp introduction messages to send a product brochure

A common mistake salespeople make is bombarding leads with all their information in the first message. This can overwhelm your lead! Additionally, if you’ve never messaged them on a messaging app like WhatsApp, they may not be able to open the information you send them. But, if you wait for them to reply before you send your product brochure, then they’ll be able to open the information you send over.

Use these introductions to greet your prospect, then offer to send over more information. Ideally, you’re sending this almost immediately after you receive your lead. That’s when their interest in your product will be highest.

WhatsApp introduction messages to book an appointment

If the next step in your sales process is to book your lead for an appointment, try these message templates to introduce the appointment with a date and time upfront. That way, if your prospect can’t make that time, they feel encouraged to reply to you and set a time that works.

Remember, these messages work best when sent as close as possible to the time your lead submitted interest.

Hi Chris,

I’m Alicia from Tiger Tots Tuition – thanks for sending in information about your child. Sam seems like a great fit.

The next step here would be to set up an appointment to figure out how best to help Sam achieve their goals. Let me know if Wednesday at 9am sounds good. Otherwise, let’s discuss a time that works for all of us.

Hi Michael,

Thanks for your interest in Sculp-ur-Body Gym and Spa! 🏋 I see you’re located around Grand Plaza Arena. Would you be free to drop by on Tuesday at 7pm for a tour?

Otherwise, let me know a time between Monday and Friday that you’re free to tour the facility.

Hi Zara,

Ryan from Antique Collection here. Thanks for contacting us with details about your clock.

Our next step would be to send someone over to your location to appraise the clock in person. Would Saturday at 11am work for you? If you’re busy then, let’s find a time that fits your schedule.

Hi Yasmine,

Thanks so much for your interest in Salon on Wheels! We have an aesthetician available this weekend for your at-home mani-pedi. 💅

Would 3pm on Saturday be a good time? Otherwise, let me know a good time for your booking.

WhatsApp introduction messages that offer a promotion

Maybe you were advertising your promotion as part of your lead generation campaign. Or, perhaps you have decided to distribute a discount or free gift more recently. Either way, you can use these introduction messages to greet your prospects with an offer they won’t want to refuse.

Hi Emma,

Thank you so much for your interest in Smile Bright Consultants. I’m Diane, and I’ll be here to answer all your questions about your smile! This New Year, all teeth whitening treatments come with a FREE at-home care package so you can keep your smile in tip-top shape long after your session. 😁

If that interests you, just say Yes, and I’ll help schedule you for an initial consultation.

Hi John,

Great to receive your details for Courses for Days. I’m Paul, and I’ll be your education consultant – let me know if you have questions about anything!

We’re running a special promotion until the end of the month: buy one course, get one course 50% off! If that interests you, let me know, and I’ll send over your personal promotion code.

Hi Thelma,

Maribel this side – thanks so much for your interest in Tip Top Portraits. For the next month, we’re offering a special package while spots last: a combination indoor-outdoor professional photoshoot for 30% off.

We still have photographers available, so let me know if you are interested in one of these spots.

Hi Geoff,

Thanks for your interest in Meal Prep Express! I’m Cassie, your certified nutrition consultant. 🥗

To kick off the new year, we’re offering your first month of meals for free when you sign up for a three-month package before the end of February. If that interests you, just type YES, and we can start creating your perfect personalised meal prep plan!

WhatsApp introduction messages preceding a call

While we advise people to text, not call their leads, your job’s industry standard may be to call your lead first. In this case, we suggest that you still message via WhatsApp or text to give your lead notice that you are calling.

Additionally, we’ve written these template messages to prompt your lead to reply with a call time that works for them, if they are unavailable at the time you send.

Hi Candice,

Thanks so much for your interest in Ready Longevity Insurance! I’m Andrew, and it’s a pleasure to meet you. I’m going to give you a quick call in 5 minutes to get to know you and your lifestyle better. Let me know if that isn’t a good time, and we’ll set something else up.

Speak soon!
Andrew

Hi Marcus,

Great to see you’re interested in Luxe Villa Residences. I’m Lucy, and I’ll be your property consultant. I’m going to give you a call at 10:00am so we can connect about your property buying needs. If that isn’t a good time, let me know – we’ll find one that works!

Hi Anson,

Great to receive your interest. I’m Al from Top Career Coach, and I’m excited to work with you to help you find your next role. Let’s have a quick chat in 15 minutes so I can get to know you and your goals a little better. From there, I can recommend roles that’ll be a great fit for your skillset!

Let me know if that time doesn’t work for you. We can find one that does!

Hi Jennifer,

Thanks for sending in your details! I’m JJ, and I’ll be helping you find the perfect language course at World Academy. I see you have some experience learning French already, so let’s have a chat at 3:30pm so I can get a sense of your level and place you in the right class.

If that time doesn’t work, just let me know and we’ll set another one.

New Year wishes for leads you haven’t messaged in a long time

You might feel awkward messaging people you haven’t spoken to in a long time, but the New Year gives you the perfect opportunity to re-engage them.

Sending them a short and personalised New Year greeting today can set you up for success later. You’ll find it much easier to move into a sales conversation from this new year message, as opposed to nothing at all.

But remember, if you haven’t spoken in several months or even years, you’ll want the message to be extra personal to make them feel special and increase your chances of reconnecting.

Try using one of these message templates here:

“Hey Chris, Happy New Year to you, Marion, and Biscuit. 🐶

We haven’t talked much in the past year, but whenever we did, your unwavering commitment in finding the perfect car to gift your parents absolutely left a lasting impression.

Wishing you and your family peace, health, and happiness in 2026 Cheers! 🥂

“Hi Sam, Happy New Year! 🎉🍾

I hope you’ve been getting a much deserved rest – especially since the last time we spoke, you mentioned that you were entering a super busy time at work.

Wishing you a smooth-sailing 2026, and more moments of comfort, peace, and joy throughout.”

“Hey Danny, Happy New Year from me and the team @ Expert Academy! 🥳

I hope this year brings you lots of new and exciting opportunities for your career as a freelance social media marketer. 💪

For more ideas, check out our other post on how to reconnect with leads you haven’t spoken to in months (or years!).

Summary

You may not get an immediate sale from wishing your leads a happy new year, but you’re definitely closer to getting one if you continue to follow up.

Here are 20 more WhatsApp follow-up message templates you can use later.

It’s important to remember that the key here is to send a personalised New Year greeting, and not a generic one, if you want to leave a positive impression.

When using any of our New Year message templates above, do include unique details about your leads and clients, whenever possible.

You’re more likely to get a reply when you show them that you’re not just another salesperson who is spamming your contacts with a generic script.

Speed up your sending process with auto-personalised New Year message templates

If you have a long list of leads you want to wish a Happy New Year, you might be thinking about bulk-sending your message. However, the problem with many bulk senders is that they don’t allow personalisation.

The Privyr app makes it super easy to save and send your message templates to multiple leads via WhatsApp, SMS, iMessage, and more. Privyr can even auto-personalise the messages with your client’s name. All you have to do is click ‘Send’ as the app automatically opens your chats with each lead.

Big festive holidays like Christmas are a great opportunity to reach out to clients. We’ve put together 12 Christmas WhatsApp messages for customers – with templates that are ready for you to use right away. 🎄

Experienced salespeople, marketers, and client servicers will tell you to never underestimate the power of a well-crafted holiday message.

A simple WhatsApp message or text can help you connect with your client, warming up a relationship even if it has been a while since you’ve last communicated. Even better, the next time they consider making a purchase, they’re more likely to remember you and reach out.

That means that you’re more likely to land a sale.

Feel free to use our message templates for WhatsApp or the SMS app of your choice.

Table of Contents:

Just remember that there are right and wrong ways to write and send that message. Consider:

1. The need to stand out from the crowd

You’re not the only salesperson trying to reconnect with that client. Your customer will be receiving many of these messages on or around Christmas, not only from your peers in sales and marketing but also from their family and friends. So, you’ll need to make sure your message is memorable in a positive way.

2. The risk of seeming opportunistic – or even worse, manipulative

Your seasonal wishes for your client are probably genuine, just like your desire to get them to buy from you. The trick is to balance these two so your client doesn’t think you’re using a big holiday to heckle or hard sell them.

3. Sending a message that includes details about your relationship with your client

You know your clients best. Any of the templates we offer you can and should include your customers’ names and any details about their family and preferences, if you have them.

This helps remind them about your relationship, and comes across as way less generic than a blanket “Merry Christmas!”

WhatsApp Christmas messages for new clients

You can use these templates for clients or customers who you’ve met recently or who are still moving through your sales process. Feel free to work personal details into the message and express a desire to continue to work together in the future.

Hi Joey 😊

Wishing you a wonderful and magical holiday season from me and everyone at Strength with Grace Pilates! 🎉

It’s been great getting to know you these past few months – looking forward to serving you more in the future. Have a great time on your ski trip to Japan! ⛷

Hello Liz 👋

Wishing you, your friends, and your loved ones a very happy Christmas!

I’ve enjoyed getting to work with you this year at Starlit Events Management. 🙏 Have a brilliant day.

Hi Art!

Wishing you and Shauna a spectacular and restful Christmas filled with joy and peace – and the reading time you mentioned you were craving for your Beginner Astrology course! 🎁

If you have any questions about your class or any others, do let me know. Happy Holidays!

WhatsApp Christmas messages for long-time clients

Use these templates for clients or customers who you have known for a long time, or who have bought from you before.

While it’s always a good idea to include personal details – such as information about your client’s family or hobbies – in outreach to a client, a holiday like Christmas is an especially great time to highlight what you know about them and their families.

At the same time, you can use the message to express your appreciation for their continued support.

Hi Charlie!

Merry Christmas!🎄 I wanted to reach out and tell you how thankful I am to be your representative at ACME Insurance.

Wishing you, Ella, and Fluffy a beautiful holiday season filled with joy and laughter.

Hello Lee 😊

Can you believe the holidays are here again? Thanks so much for your continued patronage at All the Time Fitness!

Wishing you, Michelle, Tommy, and Matty a very merry Christmas. May your celebrations be filled with peace, hope, love, and a lot of your mom’s famous fudge. 🍫

Hey Ava 👋

It’s a season for celebrating, and so I want to say thank you so much for being a valued customer at ACME Realty. 🎁

Have a joy-filled holiday season full of cherished moments, and please send my best to Carson and your father.

WhatsApp Christmas messages for customers or leads you haven’t engaged with in a long time

Ideally, you’re regularly following up with your prospects so that you never have to send a WhatsApp message to them after a long time. But if communication has fallen off between you and your leads for some reason, don’t worry!

These Christmas messages can help re-engage your leads – and remind them of who you are, what you’re selling, and any interactions you’ve had in the past.

Hi Cheryl, hope all is well with you and Dave.

Wishing you both a very merry Christmas from me and ACME Realty. 🎄 Hope your holiday season is filled with good food, good friends, and good times!

Carla

Hi Nic!

Merry Christmas! Last time we spoke, you mentioned entering a very busy period at work. Hope you’re getting some time to rest and recharge today. 🎉

Warm wishes of comfort and peace for the holiday season and in the days ahead.

Even better – you can follow up with them after the Christmas holiday by asking how their festivities went!

WhatsApp Christmas messages for clients that offer a promotion

Festive seasons like Christmas are great times to offer your customers a little deal to celebrate and encourage them to revisit your conversation history either today or later on.

However, make sure you pay attention to timing. If you’re sending the message on Christmas or the day before, don’t put out an offer that pushes customers to buy that day. Save that message for earlier in the month.

But if you want to offer a discount code or promotion good for your client’s next purchase or for sometime in the next few months, go right ahead!

Hi Crystal!

Merry Christmas!🎄 Wishing you a holiday season full of light and love.

Here at Chez Rochelle, we’re celebrating with a little gift-giving of our own. Use code XMAS20 to get 20% off a wash, blow, and dry, good for the next three months.

Now, go on and celebrate! 🎊

Hi Michael!

We wanted to give you a little present this Christmas 👀, along with our well-wishes for you, your family, and your friends.

Get a free gift from Classes, Courses & More 🎁 with your next purchase using the code YESXMAS. Thank you so much for being our customer.

Hi Jamie!

Happiest of holidays from me and all of us here at Luxe Jeweller. To celebrate this Christmas, we’re offering a special promotion in the spring for 20% the jewellery customisation of your choosing.

If you’re interested, just reply with a 🎁, and I’ll make sure you’ll get the message when it’s time!

Summary 🎁

To tie everything up in a bow 😉, you can take any of the above messages and edit them to suit your business and your clients.

As long as you send a message that is memorable, genuine (does not sound like it was sent by a bot), and personalised, your message will not only warm your client’s heart but also warm up that client relationship. That will increase the chances of your client buying from you, especially if you continue to follow up regularly.

When it’s time to follow-up with your customer after the Christmas holiday, you can check out our post on 20 WhatsApp follow-up messages to re-engage leads for inspiration! We include ready-to-use, customisable templates, just like we do in this article.

If you’re looking for an even more convenient way to send your holiday cheer, the Privyr app makes it super easy to load message templates and send them to multiple clients via WhatsApp, text, and more. Privyr even auto-personalises the message with your customer’s name.

Here’s how much time you have left before Christmas in your timezone. So don’t waste time! Try out the Privyr app right now and see for yourself.

Understanding WhatsApp’s policies

To understand WhatsApp bans, it’s important to understand WhatsApp’s policies first so you use it “responsibly”. The platform strictly prohibits spamming, unauthorised automations, and the use of third-party apps that mimic WhatsApp’s functionality. These measures, as WhatsApp explains, are important for maintaining an environment that respects individual privacy and promotes hassle-free communication. Here are some WhatsApp policies you’ll need to understand:

Age Restriction:

First things first, you need to be at least 13 years old to use WhatsApp, or 16 if you’re in the European Union. For minors, parental consent is required.

Using WhatsApp:

Next up, the golden rule – respect. WhatsApp wants you to use the service responsibly, without infringing on the rights of others or breaking any laws. WhatsApp is serious about maintaining its reputation as a positive and safe communication platform.

Unauthorised Automation or Bulk-Sending:

WhatsApp strictly prohibits any use of automation or bulk-sending tools that have not been authorised. How would you know if you’ve used an unauthorised bulk-sender? A good indication is that you’ve used a third-party app that requires you to scan your WhatsApp QR code to gain access to your account. For more information, check out our article on the best way to bulk-send on WhatsApp.

Harmful Activities:

Activities that infringe on others’ rights, break the law, or disrupt the functioning of the app, are considered harmful activities by WhatsApp. They may include harassment, intimidation, hate speech, impersonation, sharing illegal content, spamming, or trying to hack the app. Resorting to any of such harmful activities can lead to a ban. To put simply, you will be banned from using whatsapp if you don’t respect the rules of the platform and its users.

Updates to the Terms:

WhatsApp’s Terms of Service may change as the platform evolves. As a user, you agree to accept these updates to continue using the service. Always stay updated with the latest terms to ensure a smooth experience.

Remember, being a responsible WhatsApp user is all about understanding and respecting these terms, the rights of others, and the platform’s rules.

Common reasons for a WhatsApp ban

WhatsApp can ban accounts without prior warning if they believe the account poses a severe risk to the community. Hence, adhering to WhatsApp’s policies and using the platform responsibly is always recommended. However, in some rare instances, WhatsApp may automatically ban you out of suspicion that you may have been involved in malicious activity if it notices a sudden spike in your activity.

If your number has been banned from WhatsApp, here are some common reasons for WhatsApp ban you’ll want to know:

Using unofficial WhatsApp applications

WhatsApp discourages the use of unauthorised versions of the app, such as WhatsApp Plus or GB WhatsApp. These third-party applications are not developed by WhatsApp (in spite of their name), and thus cannot guarantee the security standards the official app does. How to know if the third-party tool you’re using is unsafe? If the app doesn’t open up the official WhatsApp application when you want to send a message, it could be an unsafe tool.

If you have been using these unofficial apps and WhatsApp team detects it, your number will be banned from using WhatsApp.

Suggested Tool: This WhatsApp Bulk Sender tool helps you bulk-send personalised WhatsApp messages to multiple people, even if you haven’t added them to your phonebook.

Sending spam or bulk messages

WhatsApp’s policies strictly prohibit spamming. WhatsApp will ban your number if you have been spamming people on the platform.

Alternatively, if you’re sending a high volume of similar messages to multiple users, especially those who are not in your contact list, WhatsApp may interpret this as spam. Bulk-forwarding of messages to multiple contacts may also be considered as spamming. Violation of these rules may result in a ban of your WhatsApp account.

Too many users are reporting you

If a significant number of users block you or report your account due to inappropriate behaviour, content, or spam, WhatsApp may ban your account. This part can be tricky if you’re using your phone number for business communications. Sometimes, while reaching out to your leads, they may mistake your messages for spam and report you if your message isn’t clear or sounds robotic.

WhatsApp doesn’t know what happens outside WhatsApp or whether you’re spamming or genuinely reaching out to leads. Therefore, always make sure you’re sending a clear and concise message to your leads when you’re reaching out to them for the first time. Always introduce yourself in the first line of the message. This ensures the people know why you’re messaging them. Here’s an article on how to message new leads so they actually reply to you.

Creating fake account or impersonating someone

Creating a false identity, impersonating someone, or using a profile picture that’s not yours, especially to mislead or harm others, is against WhatsApp’s policies and can result in a ban.

Promoting illegal activities

Conducting any illegal activities, including sharing content that promotes violence, illegal goods, or services, can lead to an immediate and permanent ban of your WhatsApp account.

Sharing inappropriate content

Sharing explicit, offensive, or harmful content is against WhatsApp’s policies. This includes hate speech, graphic violence, nudity, or any form of discrimination. It’s also a common reason behind WhatsApp account bans.

WhatsApp Terms of Service violation

Violation of any other terms as outlined in WhatsApp’s Terms of Service can also lead to your account being banned from using WhatsApp.

How to check if your WhatsApp number is banned

The answer to knowing if your WhatsApp number is banned is pretty straightforward. Simply launch the WhatsApp application on your phone. WhatsApp will immediately display a notification or message informing you of the ban or temporary suspension if your number has been banned. You won’t be left in the dark in case of such actions as the app itself will make it clear if any action has been taken against your number.

Types of WhatsApp Bans

The WhatsApp team may ban your number or account without prior warning if they believe that the account poses a risk to the community or that the account was created with malicious intent.

There are basically two types of bans on WhatsApp: Temporary and Permanent. You can know which ban was imposed on your account from your app. Let’s discuss the two types of bans.

Temporary ban

Temporary WhatsApp ban is a first-level measure against policy violations. You will be temporarily banned from WhatsApp if you violate its policies but the violations are less serious. If you’re using an unsupported version of WhatsApp, or if your activities are considered spammy but not necessarily malicious, you may receive a temporary ban.

Temporary banned WhatsApp numbers will not be able to access the account for a specified period, ranging from a few hours to several days. A countdown timer will usually be displayed, showing the length of the ban. The aim of this ban is to give users a chance to correct their behaviour.

If you’ve received a temporary ban due to the use of an unofficial version of WhatsApp, you’ll need to back up your chat history (if possible), delete the unauthorised apps, and then install the official WhatsApp application from the Google Play Store or Apple App Store.

Permanent ban

A permanent ban is the most serious action WhatsApp can take against an account. This action is usually taken for severe or repeated violations of WhatsApp’s policies.

Some actions leading to a permanent ban could include spreading harmful or illegal content, continuously spamming other users, getting blocked by a significant number of people in a short time, or any other severe violation of WhatsApp’s Terms of Service.

Once an account is permanently banned, it cannot be reinstated. You’ll need to create a new account with a new number in order to use WhatsApp again. However, you can reach out to WhatsApp’s support team for further clarification or to appeal against the decision if you think your number has been banned unfairly. But keep in mind that WhatsApp’s decision is final in the case of violations leading to a permanent ban.

How to Unbanned from WhatsApp quickly

Once your number is banned by WhatsApp, there are some immediate corrective actions you can take to recover it. But you’ll have to go through different courses of action for temporary and permanent bans. Here’s a guide on how to quickly unban a WhatsApp number.

How to unbanned my WhatsApp number from a temporary ban?

If you receive an in-app message saying your account is “Temporarily banned”, your WhatsApp account is banned for a limited period of time and will be reinstated soon. A temporary ban is more like a warning from WhatsApp that your activity might not be adhering to their policy. This usually happens if you’re using an unofficial version of WhatsApp, or harvesting information, which is known as scraping.

However, keep in mind that a temporary ban might lead to a permanent ban if you have failed to review your activities and fix them. Here are recommended steps for you to take to get unbanned from a temporary ban.

 1. Log out from and delete unofficial apps that mimic WhatsApp.
 2. Cease scrapping activities.
 3. Wait it Out: You may wait it out until you’re able to use your account for temporary bans. During this time, review WhatsApp’s Terms of Service and make sure you’re not breaking any rules.
 4. Appeal the Ban: If you think you have been wrongfully banned and can’t wait till your account is reinstated, you can appeal to WhatsApp support. If it’s a permanent ban, you’ll need to appeal to WhatsApp. Open the app, where you’ll see a screen informing you of the ban. Click on “Contact Us”.

How to unbanned my WhatsApp number from a permanent ban?

If your account is banned permanently, you’ll see a message saying “This account is not allowed to use WhatsApp”. Permanent bans are mostly irreversible. However, if you think you were falsely banned from WhatsApp, you can appeal for it in order to get your WhatsApp account unbanned. You may want to follow the process below.

 1. Appeal the Ban: If it’s a permanent ban, you’ll need to appeal to WhatsApp. Open the app, where you’ll see a screen informing you of the ban. Click on “Contact Us”.
 2. Write Your Appeal: In the text field, write your appeal. Clearly state that you believe your account has been banned unfairly and request a review. Be polite and professional in your communication and include relevant and complete details that may help your case.
 3. Send Your Appeal: Once you’ve written your appeal, click “Send”. It may take a few days for WhatsApp to respond, so be patient.

Ensure your appeal message includes an explanation of the corrective actions you’ve taken and a commitment to adhere to WhatsApp’s policies moving forward. Keep in mind that WhatsApp deals with numerous requests like yours, so they may take some time to review your case and get back to you.

WhatsApp unban request message templates

If you’re having trouble writing an appeal request message to WhatsApp to unban your number, here are suggested templates for different situations.

Situation 1. Mass Messaging or Spamming

Your number can be flagged as spam if you have been sending a large number of unsolicited messages or repeatedly sending the same message. This can result in a ban.

Suggested appeal template

Dear WhatsApp Support, I believe my number was banned because I’ve been sending numerous messages from my WhatsApp Business account. However, I assure you that I never intended to and haven’t misled the recipients with my messages. However, I also admit that I wasn’t fully aware of the guidelines, and I will be mindful of them in the future. I kindly request you to reconsider and unban my number. Thank you.

Situation 2. Creating multiple groups with unknown contacts

Rapidly creating multiple groups with many users who aren’t saved in your contact list can seem suspicious. This may sometimes lead to a ban.

Suggested appeal template

Dear WhatsApp Support, I recently created several groups which may have raised suspicion. These groups were made for a community event with my loyal customers. I apologise if this action violated any guidelines and ensure that I’ll be mindful of them in the future. I also request you to restore my account.

Situation 3. Receiving many block or report complaints

When a significant number of users block or report you, WhatsApp may consider your activity as suspicious and ban your account.

Suggested appeal template

Dear WhatsApp Support, I’ve come to understand that many users may have reported or blocked my number. I’m not sure why this happened, but I promise to adhere to WhatsApp guidelines moving forward. I would really appreciate it if you consider unbanning my account.

Situation 4. Using modified WhatsApp versions or unauthorised apps

Using unofficial versions of WhatsApp or unauthorised external tools can lead to a ban since these could violate WhatsApp’s Terms of Use as well as data privacy regulations.

Suggested appeal template

Dear WhatsApp Support, I’m writing to request you to reactivate my account that has been recently banned. I suppose using an external app to manage my account was the reason behind it. I was genuinely unaware that using external tools to manage my WhatsApp account was against the terms of service. I have now uninstalled it and also made sure I have the official WhatsApp version.

Situation 5. General violation of WhatsApp’s Terms of Service

Engaging in activities that directly violate WhatsApp’s Terms of Service, like automated messaging, can result in a ban.

Suggested appeal template

Dear WhatsApp Support, I apologise for inadvertently violating the terms of service. I have now reviewed them thoroughly and will ensure full compliance moving forward. I kindly request the restoration of my account.

While appealing, be respectful, acknowledge any mistakes, and assure WhatsApp that you will adhere to their guidelines in the future.

Next steps after your appeal

After lodging your appeal, await the team’s response. They might ask for further information or detail the next steps. Depending on the severity of your alleged violation, your account might be reinstated, or the ban may remain.

Preventing Future Bans

Once you’re back on WhatsApp, it’s important to prevent any future bans. You can follow some rules for yourself, including sticking to the official version of WhatsApp, refraining from spamming, respecting others’ privacy, and ensuring your behaviour aligns with the platform’s policies. Responsible usage of WhatsApp not only prevents bans but also contributes to a healthier digital communication space.

How to contact WhatsApp Support?

If you believe your WhatsApp account has been banned unfairly and you’d like to appeal the decision, you should reach out to WhatsApp’s customer support to appeal your ban. There are different ways to contact WhatsApp customer support. Let’s discuss them below.

Directly from the Banned Message

When you try to log in to your banned account, you’ll see a message informing you that your number is banned from using WhatsApp. That message mostly comes with an option, such as “Contact Support” or “Learn More.” Tap on it. This will open a pre-formatted email or contact form. Provide a detailed explanation about your situation and ask for a review of the ban.

Through WhatsApp Settings

If you can still access the app settings,

 • Open WhatsApp.
 • Tap on the three dots in the top right corner to open the menu.
 • Go to “Settings” > “Help” > “Contact Us.”
 • Describe your situation in the provided space clearly and concisely.

WhatsApp support email for banned number

You can also email WhatsApp’s support directly via [email protected]. While reaching out via email, use a clear subject line, such as “Appeal for banned number” to make your issue noticeable.

In the email body, describe the situation, acknowledging any mistakes, and request a review of your account’s status.

Web support

You can also reach out to WhatsApp by visiting the official WhatsApp website.

 • Navigate to the Support or Help section.
 • Look for relevant FAQs or guides. If you can’t find a solution, there might be a “Contact Us” option.

Conclusion

Dealing with WhatsApp bans can be challenging, but understanding the platform’s policies and respecting the digital communication environment can save you from such hassles. While the appeal process offers a chance of account reinstatement, preventing any possible ban is always the best option. So, always make sure to understand WhatsApp policies and not violate them.

The introduction message is crucial for your sales. It determines if your leads will open your message and respond to it or ignore it. It has to be well written since people generally ignore generic messages, especially if they receive them for the first time from a business.

Now, the question is, what’s the best way to write an introduction message on WhatsApp that maximises the chances of getting a response?

In this article, we’ll guide you through the best practices for effective WhatsApp introduction messages, so you´ll be able to create more effective introduction messages with a higher possibility of getting a reply.

Why contact leads on WhatsApp?

Reaching out to leads on WhatsApp has many benefits. First and foremost, WhatsApp is one of the most popular messaging apps with a large user base with different demographics. Secondly, contacting leads for the first time via messaging apps can have a much better response rate than other communication channels. Let’s explore in detail.

The first thing you want to do and should do is quickly approach your leads once you get their information. You do have a few options in how to open your very first conversation with new leads. You can approach them via a phone call, email, or a messaging app.

A phone call can be a costly decision because people may not be available to answer you at all times. What’s worse… You just waste your time and effort with each missed call. Also, according to research, people do not appreciate sales calls on their personal numbers. In fact, millennials prefer messaging over phone calls – even for personal communications.

As for email, it can be a good way to approach leads when you want to explain your products in more detail and provide links to supporting content. However, the problem with emails is that most of your leads are highly likely to overlook your message, just like a hundred and twenty other promotional emails they receive in their inbox daily.

This brings us to the third choice: approaching your new leads through messaging apps. People are more likely to notice their message notifications each time they use their mobile phones. Even if the message isn’t noticed immediately, users will check it later at their convenience because they frequently use messaging apps.

WhatsApp isn’t just an excellent messaging app for personal and business messaging, it’s also wildly popular. Most of your clients (if not all) are probably on WhatsApp and they prefer using it over other messaging apps because of its simplicity, familiarity, and the features that come with it. Introducing your business on WhatsApp means your message will likely be opened and replied to.

Messaging a cold lead vs warm lead

If you’re using WhatsApp as the tool to connect with your leads, you’ll often be sending your first introduction messages to two different types of leads: cold and warm. A lead is cold or warm depending on how much knowledge you have about them. If you’re shooting your promotional messages to random numbers without even knowing they’re your potential customers, they are cold leads. On the other hand, if you’re responding to people who have shown interest in your product or service through website forms or lead ads, they are your warm leads.

How to write a great introduction message to Cold leads

Cold leads are the random people that receive your promotional messages about your products or services without knowing who you are. The leads haven’t shown interest in your products or service and have no idea about you. They just see your message on their WhatsApp all of a sudden.

While more people tend to ignore promotional messages, well-crafted introduction messages still have a chance of being opened and getting a response. You just need to be super sharp and upfront about the problem you’re solving or the promotion you’re doing. You have to mention your offer directly so the recipient knows exactly what they can get. Your message should be truly transactional and to the point.

Let’s say you’re a real estate agent specialising in selling houses and want to let more people who want to sell their houses know about your service. Now, you have a list of 200 random numbers of people you have no idea about. In this case, instead of trying to look more creative, your message should be crafted to the point. For instance, it should look like ¨Looking to sell your house? We help people sell their house above the market rate within 2 months.”

How to write a great introduction message to warm leads

Warm leads are your potential customers whose information you’ve received through different targeted marketing activities, such as lead ads and contact forms. You know who your warm leads are and how they’ve come in contact with you. They’ve specifically expressed interest in your product or service, and have let you know what they want.

Sending messages to warm leads is a totally different scenario than sending messages to random numbers. Therefore, your approach should be more personalised and friendly, especially when you’re messaging them for the first time. Don’t treat them like cold leads. Your first message shouldn’t be transactional and neither look promotional.

This article will focus more on warm leads because most of your online activities will target warm leads.

How to introduce your business on WhatsApp status

In case you aren’t aware of it, WhatsApp status is also a great way to introduce your business on WhatsApp. So, before you create a perfect business introduction message, let’s have a general understanding of perfectly introducing your business through WhatsApp status.

Your leads may visit your profile after coming across your message, or promotional posts, to know more about your business. Also, including some industry-related keywords can make your profile visible in front of some customers searching for similar services within the platform. Therefore updating your status with the right elements can make a huge difference. But what’s the best way to do it?

Well, the general rule of thumb is to make your WhatsApp status concise, engaging, and visually appealing. Here’s a suggested approach:

 • Use a high-quality image or video: Use a good-quality image of your product, service, or business logo. If you don’t have a logo yet, a logo maker can help you create a professional design quickly. If you’re using a video, make sure it’s short and engaging. Remember, WhatsApp statuses last only for 24 hours and viewers often skim through quickly.
 • Keep it concise: You only have a few seconds to capture someone’s attention on a status. Keep the introduction short and to the point.
 • Engaging text: Start with a question or a compelling statement.
 • Emojis: Use emojis to add some flair and emotion to your text.
 • Include contact information: Mention “DM for inquiries” or “Contact us at [phone number].”
 • Call to Action (CTA): Encourage users to take action, such as visiting your website, placing an order, or just checking out your product.

Things to consider while sending great intro messages on WhatsApp

Intro messages play a crucial role in driving your conversations with clients in the right direction. That’s why they should be crafted in a way that people want to react to. It opens doors to future communications and ultimately increases your chances of improving sales

When you message your leads for the first time, oftentimes you don’t get a reply. While there are many reasons behind this, such as the customers having a busy schedule or being away (from their phones or for vacation), the greatest reason behind a message not getting a response is terrible writing. People often ignore badly timed and promotional-looking messages. So, how to make sure you don’t send a bad intro message? Here are a few things you want to consider while sending a business intro message to your leads or clients.

Make it personal

Personalisation plays an excellent role in making the recipient feel that the message is purely intended for them. According to a recent study, a large number of customers prefer engaging with personalised messages over generic ones

If you’re collecting leads online, you should know that people submit their details on your forms because they are genuinely interested to know more about your business and the offer.

However, being unable to approach your leads with a personalised message can confuse them. As a result, they’ll think your message is another generic promotional text. Adding a few personal elements, such as the client’s name and interest, can help make a message personalised. The more specific you are, the better your message will sound to the client as it focuses on addressing their requirements.

Add a question (to get a response)

The primary purpose of sending your first message isn’t just writing or introducing yourself, it’s to get a response. If your message doesn’t include something specific to respond to (e.g. a question), your leads will more likely wait for another message than reply.

Giving your clients a reason to respond helps open up a conversation. It’s best if you craft a question that resonates with them so they are curious to know more about your offers. However, it’s equally important to make it as easy as possible to respond. For instance, people will more likely respond to a yes/no question than a short answer question.

Mention the product/service your leads are interested in

People are less likely to answer a message that doesn’t explain the purpose well. If you give them a bit more detail on your intro message than they previously saw online (on Facebook lead ads or landing pages), it’ll remind them what they were interested in. As a result, they’ll open a conversation if they haven’t moved on.

For best practices, include phrases such as ‘Thanks for showing interest in our (X) product’. Also, list 3 to 5 points specific to the product to remind them of their interest.

Whether you work in sales or have a job that simply involves meeting with a lot of people, you likely spend a lot of time looking to grow your network. A real estate agent, for example, may want to spend time meeting new clients at show flats and expanding their network of real estate peers.

Meanwhile, a wedding planner probably attends conventions, trade fairs, and expos to meet prospective customers and connect with vendors to use in future ceremonies.

Even if these events don’t have large audiences, you’ll likely end the event with a stack of business cards or numbers in your phonebook. Then you’ll leave the event, ready to connect with those new contacts.

Sounds pretty straightforward, right?

Except in our experience, that’s where so many things start to go wrong. 😱

We see three huge mistakes in particular that can prevent you from connecting with your new contacts – and getting the most out of opportunities that networking with them can offer you.

Here are the top three mistakes you may be making when networking – and how to fix them. 🚧

1. 💨 You lose your new contacts

For many of us, networking is an important – but very small piece – of the tasks we have to do at work every day. Our schedules are full, and our days get busy. It’s easy to see how on the way home or back to your office, you can drop a few of those business cards in the car.

Or, maybe you slip them into a pocket you don’t check for a few months.

Remember: If you don’t reach out to your new contacts, it’s like you never went to the networking event at all

This may not seem so bad, especially if the business cards are still with you or simply hidden within your belongings. But if you don’t reach out to the people whose contact information is on those cards, you never do anything with that connection.

It’s as if you never went to the networking event and met these people at all. That’s a lot of wasted time and effort you just spent at this event!

How to Fix It ✅

To save time and effort, store contact details in your phone as soon as someone gives them to you. Their name and number is enough!

It’s easy to lose a business card – it’s much more difficult to lose contacts in your phone.

2. ⏰ You’re waiting too long to reach out to your new contacts

Let’s say, after that long day of networking, you have to do other tasks. So, you put off contacting the people you just met. You say you’ll do it tomorrow.

Or the day after that.

Or many days after that.

The next thing you know, a week or two has passed since your event.

That time may not seem to be very long for you – after all, you have plenty to do inside and outside of work that keeps you busy. But even a few hours is enough time for someone else to land a sale or strike up a partnership that could have been yours.

How to Fix It ✅

Remember: waiting costs you sales and opportunities! 💸 Message your contacts on the spot while you’re still at the networking event. That way, you’ll be in their phones – and on their minds – as soon as possible.

This will help them remember you for opportunities now and in the future.

3. ❌ You reach out to your new contacts in the wrong way

Maybe you’re entering your new contacts into your phone as soon as you speak to them and messaging them right after, but no one is replying to you.

What’s going on? Haven’t you done everything you were supposed to do?

Remember that people you meet at networking events are often just as busy as you are. They may not be able to check their messages while they’re speaking with other people. They probably have things to do after the event too!

When your new networking contact checks their messages, a message like “Hi, this is [Your Name]” is easy to ignore. It doesn’t help them remember who you are or how you met. After all, your new contact has met a lot of people today! Some of those people may even share your name.

Give your new contact a reason to want to get back to you

Think about your phone. You likely receive many calls and texts from unknown numbers all day long. You probably ignore them.

This can also be what’s happening to you if you’re reaching out with a generic message.

How to Fix It ✅

Give your new contact a reason to want to get back to you. Use your first outreach text to tell them who you are and why they were speaking with you.

Make sure your message includes these three things:

 1. Your name
 2. The event where you met them
 3. A short description of what you both talked about
Above, you see that the message on the phone on the left could have come from anyone, including a spammer. Meanwhile, the first message in the conversation on the right provides much more context. And that’s why it gets a reply!

Make sure to end that message on an open-ended note. This will encourage your new contact to reply or reach out when they have an opportunity for you.
