Things to consider while composing a year-end message

If you’ve decided to send a year-end message, make sure it’s meaningful.

Remember, you’re not trying to push a product or campaign, but you do want your clients to open the message and feel good about it. While it may not lead to immediate business, it helps keep you top of mind when your clients are ready to explore further in the new year.

Here are a few points to take into consideration for a great end-of-the-year follow-up message. 

Customer relationship

A year-end message works best when you send it to people who know you. WhatsApp is personal, and your recipients take the message differently based on your history with them. 

Before composing the message, ask yourself if the recipient would recognise you and the context immediately. If the answer is yes, you’re good to go. If you think they’ll need to think hard about who you are, the message may come across as intrusive.

The best window to send year-end WhatsApp messages is before December 25th. Avoid Late-night sends and festive dates. Keep in mind that if your message is delivered when people are busy celebrating or overwhelmed with notifications, it’s less likely to be read with warmth, even if it’s written well.

Personalisation level

Simple personalised touches can make your message feel like it was meant for the recipient, not a list. And that difference matters, especially on WhatsApp because people treat it as a personal space.

  • Use the customer’s name
    Starting with “Hi Maria” instantly softens the message and increases its chance of being read.
  • Refer to past interactions (when appropriate)
    A quick, natural reference can make your message feel grounded and sincere:
    • “Hope your app launch went well this year…”
    • “It was lovely working with you on the renovation…”

A slightly imperfect, warm message often performs better than something overly polished and robotic. People respond to messages that feel like they came from a real person—not a template.

Lastly, avoid over-personalising using placeholders you might forget to edit, like the classic “Hi {FirstName}”).

Message length

On WhatsApp, shorter messages almost always come on top. People read short messages quickly, often while multitasking. On the contrary, they mostly postpone reading long messages and then ultimately forget.

Less than four lines is usually the sweet spot. It contains enough space to sound warm and complete, but feels short enough to feel effortless to read.

We’ve talked a lot about the 10-second rule in messaging – if the client can read and respond to your message within 10 seconds, they’re much more likely to do it.

Keep your message punchy and clear with one idea per sentence and avoiding big paragraphs

Intent clarity (Gratitude first, value second)

Your intent shapes your tone, and customers can sense when a nice message is secretly a pitch.

Before composing the message, ask yourself what the message is trying to achieve. Is the intent of your message pure gratitude, conversation starter, or soft reactivation. When your intent is unclear, messages often become messy, leading to customers feeling the hidden objective.

The best formula is to start with gratitude and add value if it fits naturally. You’d want to keep the tone generous, and not transactional.

No hard CTA

Again, your year-end messages aren’t supposed to be sales blasts. It’s a soft outreach to strengthen a relationship, not to sell something or convert someone. Hard calls-to-action can make the message feel like a hidden marketing trick in festive packaging.

Avoid urgent or salesy CTAs like “Book now”, “Limited offer”, “Last chance,” etc. Even if you have a promotion, a year-end message is usually not the place to push it, unless the person is already actively searching.
